A few days ago, I was chatting with a friend who asked a simple but important question: “How can I become more effective with AI?” He had been experimenting with AI tools for his inspection work, but he felt he wasn’t getting the consistency or reliability he expected. When I asked him to walk me through his workflow, he described a scenario that perfectly illustrates one of the most common and costly mistakes people make when adopting AI.

My friend performs residential and commercial inspections. Clients send him photos of appliances — water heaters, dishwashers, HVAC units, refrigerators — and he must identify the make, model, and manufacturing year to include in his reports. Agents allow you to connect:

• SharePoint libraries
• Reference documents
• Corrections logs
• Past reports
• Visual reference photos

These become persistent grounding sources used automatically every time the agent runs.

This is long‑term, structured grounding.
